Obrital, Inc. ("Obrital," "we," "us," or "our") provides an AI voice receptionist, Lily, that answers phone calls on behalf of restaurants, clinics, salons, trades, and other service businesses ("Business Customers" or "you"). This policy explains what information we collect from Business Customers and their callers, how we use it, and the choices available to you.
2. Information We Collect
We collect the following categories of information:
- Account information — business name, contact details, billing information, and login credentials for Business Customers.
- Call data — audio recordings, transcripts, and metadata (time, duration, caller phone number) from calls handled by Lily.
- Booking & order data — names, contact details, reservation or appointment details, and order information provided by callers during a call.
- Business configuration data — hours, menus or services, booking rules, and integration credentials you provide to configure Lily.
- Usage data — dashboard activity, device and log information collected when you use our website or app.
3. Call Recording & Consent
Lily records and transcribes calls in order to provide the service, improve call quality, and give Business Customers a record of what was discussed. Where required by law, callers are notified that the call may be recorded. Business Customers are responsible for ensuring their use of call recording complies with the wiretapping, consent, and telephone-recording laws of the jurisdictions in which they operate, including any applicable two-party consent requirements.
4. How We Use Information
- To operate, maintain, and improve the Obrital service and Lily's conversational accuracy.
- To complete bookings, orders, and confirmations on behalf of Business Customers.
- To sync data with connected POS, reservation, and calendar systems you authorize.
- To provide customer support and respond to enquiries.
- To send service updates, confirmations, and — where permitted — product communications.
- To detect, investigate, and prevent fraud, abuse, or security incidents.
- To comply with legal obligations.
5. Sharing of Information
We do not sell personal information. We share data only with:
- Third-party systems you connect (e.g. Square, Toast, OpenTable, practice-management software) — solely to complete the actions you've configured Lily to perform.
- Sub-processors who provide infrastructure we rely on (hosting, telephony, speech recognition, payment processing), under contracts requiring them to protect your data.
- Authorities, where required to comply with law or a valid legal process.
6. Data Retention
We retain call recordings and transcripts for as long as your account is active, or as needed to provide the service, unless you request earlier deletion or a shorter retention period is agreed in your contract. Account and billing records are retained as required for legal and accounting purposes.
7. Your Rights
Depending on your location, you may have the right to access, correct, export, or delete personal information we hold about you, and to object to or restrict certain processing. To exercise these rights, contact us using the details below.
8. Security
We use encryption in transit and at rest, access controls, and regular security reviews to protect the data we hold. No system is completely secure, and we encourage Business Customers to use strong, unique credentials for their accounts.
9. Children's Privacy
Obrital is a business-to-business service and is not directed to children. We do not knowingly collect personal information from children through our dashboard or app.
10. Changes to This Policy
We may update this policy from time to time. Material changes will be notified to Business Customers via email or the dashboard before they take effect.
